Privacy Policy

This Privacy Policy explains how LEDGERWORKS GROUP LLC ("Company," "we," "us," or "our") collects, uses, discloses, and protects information when you use Fairvo (the "Service").


1. Information We Collect

1.1 Information You Provide

  • Account information: name, email address, business name, and password (or authentication credentials) when you register.
  • Business/operator information: business type, cuisine/concept, property type, and related profile details you enter or that we infer (see Section 2.3).
  • Invoices and documents: photos, scans, or PDFs of distributor invoices, order guides, and menu photos or PDFs that you upload.
  • Team information: if you invite team members, we collect their email address and role.
  • Payment information: handled directly by our payment processor, Paddle (see Section 4). We do not receive or store your full card number.
  • Communications: messages you send us for support, plus any content you edit or send using our negotiation-script or dispute-email features.

1.2 Information Collected Automatically

  • Usage data: pages viewed, features used, upload counts, and similar interaction data.
  • Device and log data: IP address, browser type, device identifiers, and similar technical data.
  • Push notification tokens: if you enable push notifications, we collect a device token to deliver them.

1.3 Information We Infer or Generate

  • Extracted invoice data: line items, SKUs, prices, quantities, and vendor names extracted from your uploaded invoices using automated processing, including third-party AI models.
  • Inferred business classification: we may use your invoice history to infer your restaurant concept/cuisine and property type to personalize benchmarks and suggestions.
  • Savings and cost estimates: calculations we generate based on your invoice data and Community Pricing Data (see Section 3).

2. How We Use Information

We use the information above to:

  1. Provide, operate, and maintain the Service, including invoice extraction, price comparison, par-level tracking, and reporting features;
  2. Generate the aggregated, anonymized Community Pricing Data described in Section 3;
  3. Generate AI-assisted content such as negotiation scripts and billing-dispute email drafts, for you to review before sending;
  4. Personalize your experience, including inferred business classification used to tailor comparisons and suggestions;
  5. Process payments and manage your subscription;
  6. Send you transactional messages (receipts, savings digests, price-drop alerts) and, where permitted, product updates;
  7. Monitor, secure, and improve the Service, including detecting fraud or abuse;
  8. Comply with legal obligations.

3. Community Pricing Data (Cross-Operator Aggregation)

A core feature of the Service is comparing your pricing against other Operators. To do this:

  • We aggregate pricing data extracted from invoices across all Operators using the Service into de-identified, statistical benchmarks (e.g., "community median price" for a given product).
  • These benchmarks are shown to you and to other Operators. They do not reveal which specific business paid a given price — only the aggregate statistic.
  • Your raw, itemized invoice data is not shared with other Operators; only the anonymized aggregate feeds into what others see.

You can turn community contribution off at any time, directly in the app: Profile → Community benchmarking → "Contribute my prices to community benchmarks." When it is off, we stop recording new price observations from your invoices and we exclude your existing observations from the benchmarks other operators see. You keep your own price history, price-change alerts, invoice archive, and every other feature driven by your own data. Because these comparisons depend on mutual contribution, community comparisons are not shown to you while contribution is off. You may also email support@fairvoapp.com to request the same change. Turning contribution back on resumes it going forward only; observations are not created retroactively for the period it was off.


4. How We Share Information

We do not sell your personal information. We share information only as follows:

4.1 Service Providers (Sub-processors)

Each provider is authorized to use your information only as necessary to provide their service to us, consistent with this Policy.

4.2 Other Operators

Only in the anonymized, aggregated form described in Section 3.

4.3 Team Members

If you use team accounts, information relevant to your operator account (including invoice and pricing data) may be visible to team members you invite, according to their assigned role.

4.4 Legal and Safety

We may disclose information if required by law, legal process, or to protect the rights, property, or safety of the Company, our users, or the public.

4.5 Business Transfers

If we are involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction, subject to this Policy or a policy providing equivalent protection.


5. Data Retention

We retain your account information and uploaded invoice data for as long as your account is active, or as needed to provide the Service. If you delete your account, we will delete or de-identify your personal data within a reasonable period, except:

  • Price observations already contributed to Community Pricing Data. On account deletion we permanently sever the link between those observations and your identity — the operator reference is removed, not hashed or tokenized from your identifier, and no mapping, audit log, or backup reference is kept that would allow the link to be restored. If community contribution was off, there are no retained observations to sever;
  • Data we are required to retain for legal, tax, or accounting purposes;
  • Backup copies, which are deleted on our regular backup rotation schedule.

6. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the personal information we hold about you;
  • Correct inaccurate information;
  • Delete your account and associated personal data;
  • Export your data (the Service offers CSV/report export tools for this purpose);
  • Opt out of your invoice data being included in Community Pricing Data (Section 3);
  • Opt out of non-essential marketing communications, via the unsubscribe link or your notification settings;
  • Withdraw consent where processing is based on consent.

To exercise these rights, contact us at support@fairvoapp.com. We may need to verify your identity before fulfilling a request.

If you are located in the EEA, UK, or Switzerland, you may also have rights under the GDPR, including the right to lodge a complaint with your local data protection authority. If you are a California resident, you may have rights under the CCPA/CPRA, including the right to know, delete, and opt out of the "sale" or "sharing" of personal information — we do not sell personal information as defined by the CCPA.


7. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information, including encrypted transmission and access controls on our database provider. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.


8. Children's Privacy

The Service is intended for business use by adults operating or managing foodservice businesses. It is not directed to individuals under 18, and we do not knowingly collect personal information from children.


9. International Data Transfers

Our service providers (including Supabase, Google, and Paddle) may process and store data in the United States or other countries. By using the Service, you consent to the transfer of your information to these locations, which may have different data protection laws than your own jurisdiction.


10. Cookies and Similar Technologies

We and our service providers may use cookies, local storage, and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings, though disabling them may affect functionality.


11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by email. The "Last Updated" date at the top reflects the most recent revision.
